Integrated Features of Everest Accounting

The accounting system within Everest Advanced provides the visibility and control to efficiently operate a growing small and medium business. It is fully integrated across the business. If you know basic accounting, you will quickly be delighted with the time you save and the improvement in the quality of information.

Direct Integration to a Complete Business Management System
With Everest Advanced, accounting isn't a standalone island of data. It's part of a complete business-management solution, enabling you to easily see information from other key processes without juggling multiple programs. Imagine, for example, that you see a sale for $1,000 on the general ledger and want to know who the customer is and what products were purchased. Standalone packages simply don't track that information - you'd need to start up another program and manually connect the sale with a customer file or inventory database to get the answers. By contrast, Everest tracks sales, customers, inventory, and much more in one single, integrated solution. You get all the answers you need from one system.

Accounts Receivable
Everest Advanced tracks all your receivables to give you the information you need to manage cash. The system provides reports on aging and past due on receivable documents.

As a fully-integrated system, Everest Advanced supports credit limits and can be configured to automatically prevent orders from being accepted if the customer is over their credit limit or past due.

Accounts Payable
To manage cash and the bottom line, you need a fully integrated system with sophisticated accounts payable tools - a system that manages the mundane and gives you the information to manage true business issues. Meanwhile, you can save money by taking advantage of term discounts offered by vendors and avoid late payment charges.

»
Everest Advanced provides a payment wizard that allows you to sort and list payables by currently due or currently offering term discounts on payments and then just click to select the ones you want to pay. Check printing is fully integrated in Everest Advanced.
»
Everest Advanced offers three way matching: Purchasing, Receiving and Payable, which allows you to distinguish receiving and accounts payable – so that you only pay for what you receive. Check stubs match invoices from vendors – simplifying payments and reducing misapplications of payments. “The three-way matching capability included in the latest version is a welcome addition to the product,” said Steve Blyth, president of J. Racenstein Company, a window cleaning supplies manufacturer. ”This new feature matches all the pieces associated with an order, saving us 32-40 hours per month in reconciliations.”

Audit Trails
If someone modifies your general ledger (GL), you need to ensure that you know who made the change and when that change was made. Many standalone packages have no audit-trail or security restrictions which allow any user to take the GL out of balance with a plugged entry. For instance, suppose your accounts receivable (AR) balance is $100,000 and it matches your GL. If an unknown user changes that figure in the GL, it doesn't link to the AR balance. With Everest, only authorized users can access the GL and, thanks to a complete database foundation, you have a comprehensive record of who changes to your accounting system. In addition, every transaction is linked to either a customer or a vendor, ensuring every entry in the general ledger matches in a corresponding sub-account.

Segmented Chart of Accounts
Everest enables you to segment your chart of accounts into a variety of combinations, creating virtual profit centers and cost centers that clearly show you how a particular division, location, or product line is performing. This is ideal for companies with different retail locations or warehouses, as it will enable them to expand what offerings are most profitable and fix what offerings are not profitable.

Scheduled Reports
Everest lets you design and publish auto-created periodic reports. For instance, if you want a weekly sales report by location, a monthly report of inventory by location and weekly financial statements. Everest can deliver these with a set-and-forget convenience.

Integration with CRM
If you're using a standalone accounting package, you're missing a huge component: the ability to easily communicate with your customers from within the application. For instance, with Everest, you can automatically send pre-due reminders and past due requests for payment, improving your productivity and your cash flow. , This saves time and increases the accuracy over running reports in the accounting program and then go to a separate e-mail program (e.g. Microsoft Outlook) and manually creating and sending those emails.

Sales-Tax and Purchase-Tax Management
Even small mistakes in sales-tax reporting can be costly. Tax rates are automatically assigned to transactions based on shipping address details and other user defined. Now, your employees don't have to guess what tax rate to use for an order - Everest applies it automatically. Everest also helps you create reports required by the state for sales-tax or purchase-tax collections and payments. It even supports the graduated sales tax rates in states like Tennessee and Florida.

Multiple Control Accounts
Typically, any accounting package manages receivables, payables, inventory, vendor advances, and customer advances. But to give you far more flexibility, Everest can create multiple accounts for each category. For example, you could have multiple inventory accounts - one for each warehouse or retail location. You can even create multiple financial statements for different locations and get a more accurate picture of how each location is producing.

Multi-Currency Support
Everest can work with a table of currency-exchange rates, enabling you to track your numbers in your preferred local currency while presenting invoices to customers in their preferred currencies. Everest will also allow your overseas loaners or suppliers to see financial information in their local currencies. Everest can also re-measure and adjust for currency fluctuations as needed.

Job Costing
Everest can perform accurate job costing, helping you analyze the profitability of individual projects or jobs - and improve your ability to estimate future jobs as well. Job codes can be automatically assigned to new transactions to make sure each engagement is tracked completely. Security is also in place to prevent users from modifying or assigning job codes that are expired or belong to different customers.
